Enamel & Mint Dental, Toowong
Version 1.0 · Effective 6th September 2027
Who we are
Enamel & Mint Dental (Waterland Dental Pty Ltd, ABN 31 697 236 614 operates a dental practice at Suite 2, 530 Milton Road, Toowong, Queensland 4066.
We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy explains what we collect, why, who we share it with, and what you can do about it. If anything here is unclear, please ask us. We would rather explain it than have you wonder.
What we collect
Your details. Name, date of birth, address, phone number, email address, and emergency contact.
Your health information. Your medical and dental history, medications, allergies, the reasons you came to see us, what we found, what we recommended, what we did, and your X-rays, photographs and 3D scans. Health information is treated as sensitive information under the Privacy Act and we handle it accordingly.
Payment and claiming details. Your Medicare number, private health fund details, and a record of what you have paid.
Practical information. Appointment history, notes of our conversations with you, and correspondence.
If you do not give us your medical history, your dentist may not be able to treat you safely and may decline to treat you.
How we collect it
Usually directly from you, on your new patient form, in conversation at your appointment, over the phone, or through our website.
Sometimes from other people, with your consent or where it is reasonably necessary for your care. That might be your previous dentist, a specialist, your doctor, or a parent or guardian if you are a child. If we receive information about you from someone else and you did not know, we will tell you.
Why we collect it
● To treat you safely and well, and to keep an accurate clinical record
● To contact you about your appointments, to remind you when you are due for a check-up, and to follow up on your care
● To claim from Medicare, your private health fund, the Child Dental Benefits Schedule or the Department of Veterans' Affairs on your behalf
● To take payment and, if an account is left unpaid, to recover it
● To meet our legal and professional obligations
● To send you practice news and offers, unless you have told us not to
Who we share it with
We share your information only where we need to:
Your private health fund, Medicare, the CDBS or DVA. To make a claim for you.
Specialists, dental laboratories, your doctor, or another practitioner involved in your care. To treat you, with your consent.
Our practice management software and IT providers. To run the practice and store your record securely.
Our AI note taking assistant. To help write your clinical notes, if you have agreed. See below.
A debt collection agency. Only if an account is left unpaid after we have contacted you about it.
Our insurers and lawyers. If there is a claim or a legal obligation.
Anyone the law requires. Court orders, subpoenas and mandatory reporting.
We do not sell your information. We do not share it with anyone for their own marketing. We do not use your health information to target advertising to you.
Artificial intelligence
We may use an AI assistant to help write up your clinical notes, so your dentist can spend the appointment looking at you rather than at a screen. It listens to the conversation and turns it into a written note.
● No recording is kept. The audio is turned into text and then deleted. Nobody listens back to it
● Your information is stored in Australia and is encrypted
● Your dentist reads, corrects and approves every note. The assistant drafts. Your dentist remains responsible for what goes in your record
● It does not make decisions about your treatment. It writes notes
● Your information is not used to train AI models and is not used for marketing
● You choose. We ask on your new patient form, and you can say no there or change your mind at any time, including part way through an appointment. Your dentist will take notes the usual way and nothing about your care changes
Where your information is kept and how we protect it
Your record is held in our practice management software, on servers in Australia. Paper records, where we have them, are kept in locked storage at the practice.
We protect your information with encryption, individual staff logins, access limited to what each person needs to do their job, multi-factor authentication, and regular backups. Every member of our team is bound by confidentiality obligations, and we train them on privacy when they start and annually after that.
If your information is involved in a data breach that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner, as the law requires.
How long we keep it
We keep your record for at least 7 years from your last visit. If you were under 18 when we last treated you, we keep it until you turn 25. This follows the standard for Australian health practices and protects your ability to access your own history.
After that, records are destroyed securely.
Marketing
We will contact you about your appointments, when you are due for a check-up, and about any unpaid account. That is part of providing your care and is not marketing.
Separately, we may send you practice news, information about our services and occasional offers. You can opt out on your new patient form, unsubscribe from any message, or tell us at reception, and it stops. It will not affect your care.
Seeing and correcting your record
You can ask to see your record at any time and we will normally provide it within 30 days. There may be a reasonable fee for copying or for the time involved, and we will tell you what it is before we start. We can refuse access only in the limited circumstances the Privacy Act allows, and if we do, we will tell you why in writing.
If something in your record is wrong, tell us and we will correct it. If we disagree that it is wrong, you can ask us to record a note of your view alongside it.
To ask, contact us on the details below.
Complaints
If you are unhappy with how we have handled your information, please tell us first. Contact [name or role, for example the Practice Manager] on the details below. We will acknowledge your complaint promptly and respond within 30 days.
If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner:
